Users tab and participant invites

The Users tab on a world details page is where organisers manage people for that one world. Use it for participant invites and world-level access, not organisation-wide collaborators.

Where: Worlds, select a world, View details, then open Users.

Use the Users tab to

  • View people connected to the selected world.
  • Invite a participant or world user by email.
  • Choose a world role for the invited user.
  • Resend pending invites while they are valid.
  • Remove world access when that action is available.
  • Check whether a user has joined, still has an invite pending, or is associated with a team.

You do not manage organisation-wide members, billing, or roles from this tab. Use Organisation settings for organisation-level access.

What the Users tab shows

The Users tab lists people connected to the selected world. Depending on the world and registration state, rows can include:

ColumnWhat it means
NameThe invited or registered person. Pending invite rows show an Invited chip here.
RoleThe person's world role for this world.
TeamThe team they belong to, if the world uses teams.
JoinedWhen the user joined. Pending invites show Not joined yet.

This page is scoped to one world. It does not manage organisation billing, organisation members, or broad organisation roles.

Invite a participant or world user

  1. Open the world details page.
  2. Open the Users tab.
  3. Click Invite User.
  4. Enter the user's email address.
  5. Choose the appropriate world role.
  6. Submit the invite.

The invited user receives an email. They must accept or follow the invite flow before they appear as joined.

If a pending invite is still valid, you can resend it from the Users tab. If the wrong email or role was used, send a corrected invite.

World roles

World roles apply only to the selected world.

  • A world participant can join and play the event.
  • A world admin can help manage that world.
  • A world role does not make someone an organisation administrator.
  • Removing or changing a world role does not remove someone from the organisation.

Use organisation settings for organisation-wide access. Use the world Users tab for per-world access.

Invites vs registration

An invite gives someone a path into the world, but normal event conditions can still matter:

  • Registration must be open unless the invite flow bypasses registration for that world type.
  • Invite-only worlds may also use a shared event access code.
  • Team worlds may still require the participant to create a team or enter a team invite code.
  • If the event has already ended, access depends on the organiser's settings.

Common mistakes

  • Inviting someone to the organisation when they only need access to one world.
  • Sending a team invite code when the player actually needs the event access code.
  • Expecting an event access code to choose a team.
  • Forgetting that world roles and organisation roles are separate.
  • Inviting the right person before registration opens, then assuming they can immediately access the map.
